KRPD Administrative Assistant (part-time, standard schedule; minimum of 24 hours per week)
Types and prepare documents proficient in MS Word and merging with database names, schedule appointments, and maintain files. Answer the phone and directs calls and assists with Board Meetings, committee meetings and other meetings as needed. Files and maintains all records. Insures that all records and correspondence is filed appropriately.
Proficient in Quickbooks. Prepares monthly invoices and tracks payments and deadlines for contracts, and agreements. Collects rents. Maintains accounting records that fulfil the requirement of granting agencies and audit requirements. Prepares checks to pay bills. Prepares records for annual audit. Provides reports to the General Manager as requested. Maintains tonnage totals for all terminals monthly. Is proficient in spreadsheets and how to integrate data to work with other programs. Maintains financial records as directed by the Treasurer. This position is bonded. Implements recommendations made by the Treasurer and Auditor. Serves as the Secretary for the Board of Directors. Assists board members as necessary.
Maintains a professional work space and office with no clutter and everything properly filed. Insures the office and board room are clean and professional looking. Cleans up after each board meeting.
Maintains the Port District web page and as requested other web pages. This includes the creation of web pages and monitoring data and content for web pages.
Maintains and edits the Port District database. Remove duplicates in database, update contacts as needed particularly after an election. Maintains records both physically and in the cloud. Reduces duplicate files and reduces clutter of files on the cloud whenever possible.
Acts as office manager, planning organizations events such as appreciation dinners, barge tours, and board meetings, scheduling client meetings, and coordinating tours as requested. Participates in supporting organizations as directed. Tour to port sites as directed by the General Manager.
Other duties as assigned. Position is located at the Port District office in Red Bud, IL
